Childhood Interventions, LLC ("we," "us," or "our") operates childhoodinterventions.com and its associated digital tools, including the COS Documentation Tool and the Progress Summary Generator ("the Tools"). This Privacy Policy explains how we collect, use, and protect information when you visit our website or use our Tools.

1. Information We Collect

a. Information You Provide

When you purchase a subscription through Lemon Squeezy or contact us through our website, we may collect:

• Your name and email address

• Payment information (processed by Lemon Squeezy — we do not store payment card data)

• Any messages or inquiries you send through our contact form

b. Information You Enter Into Our Tools

COS Documentation Tool: The core scoring checklist, age-anchoring, and rating calculations are processed entirely within your web browser — this data is never transmitted anywhere. The tool also offers optional AI-assist features (polishing your notes into IFSP-ready language, suggesting a COS rating from your notes, and generating narrative sections from an uploaded evaluation document or your completed skills checklist). When you use one of these features, the relevant text is scrubbed to remove the child's name and any dates before being sent to Google's Gemini API for processing — the same safeguards described in the Google Gemini API section below apply, and we do not store, retain, or have access to that content after it is processed. If you choose to save a report to your own Google Drive, the app requests access only to create and view the specific file it saves for you — it cannot see, read, or modify anything else already in your Drive. This access is used solely to provide that save feature and is never used for any other purpose.

Progress Summary Tool: When you use the Progress Summary Tool, session note content you enter is transmitted to Google's Gemini API for AI processing. Before transmission, the tool automatically redacts protected health information (PHI), replacing child names, Medicaid numbers, and other identifiers with initials and placeholders. We do not store, retain, or have access to session note content after it is processed. If you choose to save your finished progress summary to your own Google Drive, the app requests access only to create and view that specific file — it cannot see, read, or modify anything else already in your Drive.

Provider Management Tool: This tool accesses your Google Sheets spreadsheet via Google OAuth on your behalf. All data, including any protected health information, remains in your Google-owned spreadsheet. We access your spreadsheet solely to read and write session billing and caseload data as directed by your use of the tool. We do not store, copy, or retain any spreadsheet contents on our servers. Access can be revoked at any time through your Google Account settings at myaccount.google.com.

Session Notes Tool: With your explicit Google authorization, this tool can save documents it generates (session notes, summaries) to your own Google Drive, and can optionally import your scheduled visits from Google Calendar (read-only) to pre-fill a session note. The app only accesses documents it creates itself in Drive — it cannot see or modify the rest of your Drive contents. Calendar access is read-only; the app never creates, edits, or deletes calendar events.

c. Automatically Collected Information

Our website may collect standard web analytics data including:

• IP address and general geographic location

• Browser type and version

• Pages visited and time spent on site

• Referring website

This data is used solely to understand how our site is used and to improve our services.

2. How We Use Your Information

We use the information we collect to:

• Process and fulfill your subscription purchase

• Send you access credentials and product updates

• Respond to your inquiries and provide customer support

• Improve our website and tools

• Comply with legal obligations

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Third-Party Services

Childhood Interventions, LLC's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Lemon Squeezy

We use Lemon Squeezy to process payments and manage subscriptions. When you purchase through Lemon Squeezy, their privacy policy applies to your payment information. You can review Lemon Squeezy's privacy policy at lemonsqueezy.com.

Google Gemini API

The Progress Summary, and COS Tool's optional AI-assist features (note polishing, rating suggestions, and narrative generation), use Google's Gemini API to generate AI-assisted content. Redacted session note content is transmitted to Google for processing. Google's use of this data is governed by Google's API Terms of Service and Privacy Policy. We have configured our use of the Gemini API under a project tied to Childhood Interventions, LLC. We do not use or submit any data that would constitute protected health information (PHI) under HIPAA to the Gemini API.

Google Sheets API

The Provider Management Tool uses the Google Sheets API to read and write data in your provider-owned spreadsheet. Access requires your explicit Google OAuth authorization. Google's use of data transmitted through the Sheets API is governed by Google's API Terms of Service and Privacy Policy. We have a Business Associate Agreement with Google through our Google Workspace account covering this access.

Google Drive (drive.file)
COS Tool and Review Tool both offer an optional "Save to Drive" feature. When used, the app requests access only to the specific document it creates for you — it cannot see or modify any other file in your Google Drive. This access is used solely to save that one document and for no other purpose.

Squarespace

Our website is hosted on Squarespace. Squarespace may collect standard analytics and technical data as described in their privacy policy at squarespace.com.

4. Data Security

We take reasonable measures to protect your personal information. The COS Documentation Tool is designed so that no child data ever leaves your browser. For the Progress Summary Generator, PHI redaction occurs before any data is transmitted externally.

For the Provider Management Tool, data security depends on the security of your Google account and spreadsheet. We access your spreadsheet only via OAuth tokens that expire and must be periodically renewed. We do not store OAuth tokens or spreadsheet contents on our servers.

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to using industry-standard practices to protect your information.

5. Children's Privacy

Our Tools are designed for use by licensed early intervention providers and professionals. They are not directed at children. Any child-related data entered into our Tools by providers is subject to the provider's own HIPAA and privacy obligations. We do not knowingly collect personal information from or about children.

6. Your Rights

You may:

• Request access to the personal information we hold about you

• Request correction of inaccurate information

• Request deletion of your account and associated data

• Unsubscribe from marketing emails at any time

7. Data Retention

We retain your account and subscription information for as long as your subscription is active and for a reasonable period thereafter for legal and business purposes. We do not retain any session note content or child data processed through our Tools.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active subscribers of material changes via email. Continued use of our Tools after changes are posted constitutes acceptance of the updated policy.
